Purpose of Position

The Operations Manager provides project management and coordination for trade shows, pavilions, and events. This includes budgeting, communications, internal and external collaboration, scheduling, coordinating services, booth production, arranging for temporary staffing services, décor, catering and other projects as directed.

Position Summary / General Description 

The Operations Manager will be a crucial member of our team working with internal stakeholders as well as outside vendors, (domestic and international) to ensure our trade shows exceed expectations.

The individual hired for this position will manage the operational portion of the trade show process, and be responsible for communicating with all parties from design concept to delivery, coordinating all production activities and assuring quality and timeliness.

The Operations Manager is responsible for the administration of budgets and monitors P&L.

This position will act as liaison to the general service provider and ensures quality standards and contractual obligations are adhered to. Additionally, the Operations Manager reports and updates any issues to the Operations Director.

Essential Duties and Responsibilities

  • Create Request for Proposals (RFP) and negotiate costs with vendors
  • Develop a vendor selection for all aspects of our show operations including, staffing, security, general service contractor, A/V, venue
  • Review and negotiate estimates
  • Take ownership for the entire project including: production schedules, budget; vendor selection; (quality, delivery, execution and deadlines)
  • Manage the production schedule and control the budget
  • Oversee the production processes, constantly communicate to internal show team and ensure that needs are being met
  • Collaborate with the internal teams and external partners on strategy, while considering expectation, timeline, budget and ease of implementation
  • Ensuring effective communication of timelines, deadlines, deliverables and pertinent details
  • Partnering with show team to ensure work flow is monitored and assessed and resources effectively allocated and utilized
  • Assist in gathering/reporting data for forecasting purposes
  • Participate in performance reviews
  • Participate in the hiring process

  • PC skills: Proficiency in Microsoft Office Suite, familiarity with Smartsheet and SalesLogix desired

Position Purpose

Essential Duties and Responsibilities

Specific duties and responsibilities in the administration sales programs for Messe Frankfurt, Inc. (MFI) trade shows include the following but the individual will also be expected to perform all the duties necessary which are customarily performed by a person holding this position.  Other duties may be assigned.

Responsibilities

Provide general sales and exhibitor related communications support for the specific brands and trade shows and assisting the Sales Manager (SM) with customer support activities.

Focus on qualifying new leads and cold calling prospects.

  • Identify, qualify and close US exhibitor prospects for the portfolio.
  • Perform administrative tasks, including mailing functions, organizational projects, purchase orders, produce and distribute sales reports, timelines and general record keeping.          
  • Maintain effective sales database for relevant trade shows.
  • Maintain an updated floor plan for relevant trade shows, back-up/support.
  • Working in SalesLogix, track communications with exhibitors and follow up on invoices, confirmations, deadlines, catalogue orders, ancillary MFI services and general communications.
  • Contribute to identifying ideas on increasing show revenues through alternatives to booth and sponsorship sales.
  • Coordination of services provided to exhibitors, attendees and miscellaneous projects required by SM prior to and during the onsite operation of relevant trade shows.
  • Address exhibitor concerns, requests and questions prior, during and after trade fair.
  • Assist SM with the coordination, preparation and execution of sales campaigns.
  • Coordinate with Frankfurt and brand managers on the distribution of promotional materials.
  • Develop sales programs in support of sales partners.
  • Additional support functions in the daily communication, record keeping and strategic positioning of the shows.
  • Support the Show Media efforts
  • Training and supervision of temporary staff.


Messe Frankfurt Global

  • Maintain direct and consistent communication with relevant show teams and area sales management based in Frankfurt and other locations in the world to discuss projected targets and goals and ensuring that deadlines are met for entering targets into the Global Sales Cockpit (GSC). 
  • Collaborate with Frankfurt and international brand managers to maximize available space for US based exhibitors in International Events.
  • Through Sales Logix (CRM) manage the process of tracking Frankfurt’s communication with US based exhibitors and follow up on invoices, confirmations, deadlines, catalogue orders, ancillary Messe Frankfurt services and general communications.

Reporting

The Accountant reports to Assistant Controller Manager and President and CFO

Responsibilities

Provides financial information by maintaining and reconciling accounts; preparing reports.

Main Job Task and Responsibilities

  • Generate and Analyze Great Plains (Microsoft Dynamics GP) Reports.
  • Maintains financial records for subsidiary companies by analyzing balance sheets and general ledger accounts.
  • Assist with Bank Reconciliations.
  • Enter/Post Cash account - Journal Entries.
  • Reconciles general and Inter Company (I/C) accounts by gathering and balancing information.
  • Provide supporting details to Management as needed.
  • Assist with month-end and show closings.
  • Post Monthly bank fees and adjustments.
  • Post Daily Exchange rate and conversions.
  • Post Credit Card Receipts
  • Provide supporting details for Annual Audit as needed
  • Maintain and reconcile Accrual Accounts and Prepaid accounts

Other Potential Tasks and Responsibilities

  • Process Credit Notes and Sales Voids.
  • Scan and File payment documents.
  • Assist with Accounts Receivable functions

Education and Experience

  • College degree with major in Accounting/Finance
  • Knowledge of accounting principles and practices
  • Technical accounting skill
  • Four (4) plus years’ experience required,
  • Proficiency in relevant accounting software, Microsoft Dynamics GP a must, Excel
